Amtrak only accepts invoices submitted through the Ariba Supplier Network (ASN). This page describes the process of submitting invoices to Amtrak, and consists of the following three major sections:

Creating an Ariba Supplier Network (ASN) Account

The Ariba Supplier Network is one of the world's largest transaction networks, connecting more than 100,000 suppliers with buyers. The network provides the capability of transacting the entire procurement lifecycle in an electronic fashion within the network.

Joining the Ariba Supplier Network is easy, and can be done completely over Ariba's ASN web site. To learn more about the process, visit the Ariba Supplier Network web site and click the 'Learn more' link under Registration Process Overview. To join, click on the 'Register as New Supplier' link. The ASN site will walk you through the steps needed to obtain your Ariba Network ID

Submission Options for Invoicing Amtrak

The Amtrak system only receives invoices from the Ariba Supplier Network (ASN). This allows Amtrak procurement systems to interact with a single external data source. Once you are a member of the ASN (if you are not, refer to creating an Ariba Supplier Network (ASN) Account), you can submit invoices to Amtrak via one of three methods:

  • Submitted from within the ASN (cXML upload)
  • User-entered into the Amtrak eInvoicing System
  • Uploaded to the Amtrak eInvoicing System

The first option connects you to the ASN directly. Submission via the ASN means that your firm’s invoicing system generates an Amtrak Legal cXML invoice and talks directly with the ASN. You are able to submit invoices to Amtrak or any other ASN member. All that is required to send the invoice to Amtrak is to ensure that you are using Amtrak’s Ariba Network ID as the invoice recipient.

The second and third options assume that your firm's invoice applications are not connected to the ASN. If you’re invoicing systems are not connected to the ASN, you must use the eInvoicing system to submit your invoices through one of these two remaining options. The eInvoicing system provides these two methods to enable firms to interface with the ASN without constructing the required infrastructure. On the most basic level, the eInvoicing system allows users to enter invoice data directly into the system by hand via a web browser into the eInvoicing system. This is the ideal for a firm that does a low-volume of invoice entry into the Amtrak system.

For those that don’t have the ASN integration capability, but still have a large enough volume of cases that makes hand-entry prohibitive, the eInvoicing system provides the capability of uploading invoices using the industry-standard LEDES98B format using the “Upload Invoice” page This page accepts data files that have been generated to the user’s local hard drive and are ready for submission to the ASN via the eInvoicing system.
